Learning Solutions Policies

Payment Policies
New Leaf Therapy does not store or accept any cash on the premises. You are able to pay before or after your young person's session via the following ways:
  • EFTPOS Machine in clinic
  • Direct bank transfer - New Leaf Therapy appreciates a 3 day term for payments to be made.
  • Charging your debit/credit card online - New Leaf Therapy is able to store your debit/credit card details securely on our Halaxy platform. If you wish for us to process payments on your behalf, we can do so. Please note you may be subject to additional fees by your banking institution if you choose to use this payment method. Payments will be charged on the same day as your appointment using the card details held on your file. A 'paid' invoice will be automatically generated from the system and sent directly to your email for record keeping purposes.
  • NDIS Participants only - All invoices will be sent directly to the Participant if you are self-managed or to the Plan Management Company if you are plan-managed.
Cancellation & Rescheduling Policies
New Leaf Therapy requires a minimum of 2 business days' notice for the cancellation or rescheduling of any appointment. Any changes within 2 business days' will incur the full fee (e.g. to cancel a Wednesday appointment, you must provide notice by the previous Friday before 4:00pm to avoid incurring a fee).
Notice must be provided via email to admin@newleaftherapy.net.au. For those with extenuating circumstances who are unable to email, notice can be accepted via text message to 0424 695 505, which states your name, appointment details and a clear request to cancel or reschedule. Please note this number is only used for receiving text messages.
Automated email reminders are sent 4 days' prior to all scheduled appointments to allow you time to make changes to your appointment (i.e. without incurring a fee). If you arrive to your appointment late, please be advised that we cannot extend your session duration. We will wait for you for up to 15 minutes, your appointment will then only last the remaining duration that was originally allocated for the session. If you arrive more than 15 minutes late to your scheduled appointment, New Leaf Therapy will not be able to accommodate you.
Your missed appointment will be deemed as a "non-attendance" appointment and you will be charged the full fee of the missed appointment. Staff will attempt to contact you via email and phone.
If you miss an appointment entirely without notice, this will be charged as "non-attendance" appointment. You will be charged the full fee of the missed appointment.
In accordance with the NDIS Pricing Arrangements and Price Limits (2025-26) Guide, a short notice cancellation is determined if the NDIS participant:
  • Does not show up for a scheduled service within a reasonable time
  • Is not present at the agreed upon place
  • Has given less than two (2) clear business days' notice to cancel or reschedule

New Leaf Therapy as the "provider" of the service reserves the right to charge 100% of the fee associated with the service from the participant's NDIS plan. Invoices for late cancellations/non-attendance appointments will use the same line item, as if the support was delivered.
Please note all outstanding cancellation, rescheduling or non-attendance fees must be paid prior to your next appointment.
